Lead Executive Assistant

Description:

Our client, a global business and technology firm, is looking for an Executive Assistant, that is highly organized. This Executive Assistant will support the President of the West Region. This role focuses on calendar management, travel coordination, and expense processing, withoccasional support for team recognition and events.

Location: Hybrid - Seattle

Length of Assignment - 4+ months (contract to hire)
Compensation - $60-65 Hourly
Additional Compensation: This position is not eligible for bonus or incentive compensation.

JOB SUMMARY:

  • Provide direct, high-touch support to the President of West Region, including calendar management, travel coordination, and expense reporting.
  • Partner closely with the Chief of Staff to ensure alignment on priorities, communications, and strategic initiatives.
  • Manage complex calendars across multiple time zones, resolving conflicts and prioritizing effectively.
  • Coordinate internal and external meetings, appointments, and events.
  • Serve as a trusted liaison for internal and external communications.
  • Draft, review, and send professional correspondence on behalf of the President.
  • Prepare agendas, presentations, and follow-up materials for meetings.
  • Attend meetings to capture notes and ensure timely execution of action items.
  • Plan and manage logistics for on-site and off-site events.
  • Process expense reports, manage travel bookings, and support technology needs.
  • Ensure smooth day-to-day operations and anticipate executive needs.
  • Support special projects through research, data analysis, and reporting.
  • Collaborate cross-functionally to drive project success.
  • Coordinate detailed travel itineraries, accommodations, and transportation.
  • Ensure seamless travel experiences with contingency planning.
  • Build strong relationships with internal and external stakeholders, including Chiefs of Staff, team leaders, and other EAs.
  • Represent the President with professionalism and discretion.
  • Collaborate with the global EA team and participate in regular program meetings.
  • Provide backup support to other executives during EA absences.
What You'll Bring
  • Minimum 7 years of experience supporting senior executives, ideally at the C-suite level.
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Proven ability to thrive in high-volume, fast-paced environments.
  • Strong initiative and problem-solving mindset; anticipates needs and takes action.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Outlook, Teams, Word, Excel, and PowerPoint.
  • Highly collaborative and comfortable with over-communication when needed.
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team.
